HR Executive
Description

As an HR Executive, you provide support for the full spectrum of HR functions in the employee lifecycle from recruitment and on boarding, training and performance management to off boarding. You also participate in various initiatives and projects to meet the company’s employee engagement objectives.

Responsibilities

Critical Work Functions and Key Tasks

  • Support recruitment efforts through hiring and onboarding
    • Conduct initial screening of job applications’ resumes and relevant skill qualifications and collect information on potential new hires
    • Liaise with job applicants to respond to queries and administer selection process and assessments
    • Prepare employment offer letters and contracts, following standard templates and regulations and conduct reference checks
    • Provide coordination and administrative support in the application of work permits, visa and documentation required for international workforce
    • Prepare personal file and coordinate the access set up for new hires
    • Conduct onboarding programme for new hires
  • Administer performance management programmes
    • Disseminate information and respond to employee enquiries in relation to performance reviews and timelines
    • Generate performance management reports ensuring confidentiality of performance review data
  • Administer employee compensation and benefits
    • Document organisation’s compensation and benefit policies
    • Gather employee feedback on organisation’s benefits schemes for review purposes
    • Source for external vendors for memberships and promotions as part of benefits programmes
    • Generate monthly payroll and CPF reports and income tax declaration forms
    • Process benefits claims based on employee submissions and generate benefits claims reports
    • Gather employee feedback on organisation’s benefits schemes and source for external vendors for memberships and promotions as part of reviewing benefits programmes
  • Prepare performance, rewards and other employee data
    • Maintain historical and current employee data in HR system
    • Prepare performance and rewards data for analysis and consolidate outcomes of analysis, highlighting anomalies if any
  • Support the learning needs of the workforce
    • Identify the workforce learning needs through data and profiling tools and identify suitable learning programmes
    • Liaise with nominated internal trainers and external learning vendors to deliver scheduled training programmes to meet learning requirements
    • Register employees for learning courses and apply for grants for learning programmes
    • Generate learning and post-learning reports through evaluation survey findings
  • Administer separation
    • Ensure employee exit formalities are complete before employee leaves
    • Respond to employee queries relating to exit and retirement processes
    • Maintain employee exits and retirement records
  • Enhance employee engagement and wellbeing
    • Administer employee engagement surveys and collate responses to support execution of programmes and initiatives designed to improve employee engagement and wellness
  • Support the management of workplace issues and grievances
    • Draft communications message to employees to address various employee issues and policy changes according to regulatory guidelines and organisation directives
  • Work on initiatives and projects to support automation and digitalisation of the HR function.
Qualifications
  • Diploma in business or HR-related discipline.
  • 3-5 years of experience in a HR generalist role.
  • Strong understanding of Singapore employment laws and HR best practices.
  • Able to work independently, multi-task and adhere to deadlines, and follow up on tasks and projects assigned.
  • Possess strong written communication and interpersonal skills to comfortable and effectively engage with employees at all levels and the management.
  • Able to demonstrate passion, innovation and creativity in creating an inclusive and conducive work environment, improving and enhancing work processes for employees to thrive and contribute.
  • Knowledge and skills on automation such as robotics and macros, simple programming etc. would be advantageous.
  • IHRP Certification Preferred
